Introduce e-invoicing: meet the obligation and digitise your bookkeeping

E-invoicing is mandatory in German B2B. I check what your business needs now, set up receiving and creating e-invoices and connect your bookkeeping so invoices are processed without retyping.

What applies to e-invoicing in Germany?

Since 1 January 2025 all businesses in Germany must be able to receive e-invoices in B2B. Issuing them becomes mandatory in stages:

An e-invoice is a structured data set in formats such as XRechnung or ZUGFeRD. A plain PDF by email does not count as an e-invoice. As of November 2026. This is not tax or legal advice – please confirm details with your tax adviser.

What I implement for you

Review

Can your current invoicing and bookkeeping software receive and create e-invoices? What has to change or be replaced?

Receive e-invoices

A dedicated inbox (e.g. invoices@your-company.com), display and checking of invoice data and handover to bookkeeping or your tax adviser.

Create and send e-invoices

Setup in tools such as Lexoffice or sevDesk or – if you have your own workflows – as an integration with your existing software.

Connect bookkeeping

Interfaces to DATEV and other bookkeeping software so receipts are imported automatically.

Order and filing

Structured filing of your receipts, aligned with your tax adviser’s requirements.

Briefing

Short, practical training for you and your team so the new workflow works in daily use.

Process

  1. Check

Which invoices do you receive and write, with which software?

  2. Plan

Choose a suitable solution, consider deadlines, align with your tax adviser.

  3. Set up

Commission and test receiving, creating and interfaces.

  4. Support

I remain your contact for questions and changes.

Frequently asked questions

Must I receive e-invoices as a small business?

Yes, every business must be able to receive them. Small businesses under section 19 of the German VAT Act are exempt from the obligation to issue e-invoices themselves. Please clarify your individual case with your tax adviser.

Is a PDF invoice by email enough?

For receiving: since 2025 every business must also be able to process structured e-invoices. A plain PDF invoice is not an e-invoice in the legal sense. For issuing, transition periods apply, see above.

Does e-invoicing apply to private customers too?

No. The obligation covers invoices between domestic businesses (B2B). For private customers the previous rules remain.

Which software do I need?

That depends on your business. For many small businesses an online bookkeeping tool with an e-invoicing function is enough. I recommend vendor-neutrally what fits and set it up.
